Wisemind & Body’s Privacy Policy
for Management of Personal Information

This document outlines the privacy policy of Wisemind & Body regarding the handling of clients’ personal information. The Australian Privacy Principles bind the psychological services provided in the Privacy Act 1988 (Cth). The policy is in place to ensure that client information is managed securely and appropriately and that clients have access to and can make corrections to their information.

 

Client Information
Wisemind & Body follows Australian standards for online security and encryption through a cloud-based web server. Client files are stored in a secure electronic document management system (Cliniko) and are accessible only to authorised employees or service providers in accordance with the practice’s policies and procedures. Each file includes personal information such as name, address, contact information, medical history, and other details collected as part of the psychological service.

Collection of Personal Information
Clients’ personal information is collected through various means during psychological consultations, including direct communication with the psychologist or Wisemind & Body employees, email correspondence, and information provided by other health practitioners.

Consequences of Not Providing Information
The personal information collected is used to provide psychological services, including assessment, diagnosis, and treatment. If a client chooses not to provide personal information, Wisemind & Body may not be able to provide the psychological service. Clients can request to be anonymous or use a pseudonym unless it is impracticable or required by law.

Disclosure of Personal Information
Wisemind & Body will not disclose personal information unless it is subpoenaed by a court, required to prevent serious harm, or with the client’s prior approval for specific purposes such as providing written reports or discussing the material with other professionals or agencies. Personal information will not be disclosed to overseas recipients unless required by law or with the client’s consent.

In case of unauthorised access, disclosure or loss of client information, Wisemind & Body will activate its data breach plan to minimise harm. Clients can request to see and correct their personal information on file. Requests will be responded to within 14-30 days, and appointments may be made for clarification.

Concerns
Clients can raise concerns about managing their personal information with the Clinical Director and obtain a copy of the Australian Privacy Principles. If clients wish to file a complaint, they can do so with the Office of the Australian Information Commissioner.
