Cancellation Policy

At Wisemind & Body Psychology Clinic, we understand that sometimes unexpected things come up and you may need to cancel or reschedule your appointment. Clients are made aware of this policy during the booking process and agree to pay a fee for late cancellations or rescheduling when they complete their initial consultation paperwork. In order to provide a high-quality service to all of our clients and to ensure that we can offer appointments to those who need them, we have a cancellation policy in place as follows:

  • If you need to cancel or reschedule an appointment, please let us know at least 48 hours in advance. This can be done by calling the clinic or sending an email.
  • If you cancel your appointment with less than 48 hours’ notice, a cancellation fee may apply. This fee is equal to 50% of the scheduled appointment fee. The fee also applies if you reschedule your appointment to the following week. If you miss your appointment without letting us know, a Non-attendance fee may apply. This fee is equal to 100% of the scheduled appointment fee.
  • We understand that sometimes unexpected things happen and there may be extenuating circumstances. If this is the case, please let us know and we will do our best to work with you.
  • We also understand that some clients will require frequent cancellation, in this case, we will ask you to pay in advance for your sessions.

The purpose of this policy is to:

  • Minimize disruptions to the therapists’ schedules and prevent loss of preparation time due to clients cancelling, rescheduling, or missing appointments.
  • Ensure other clients have the chance to access therapy.
  • Lessen financial losses caused by cancellations, rescheduling, or missed appointments, as we are a private practice and therapists lose income in these situations.
  • Decrease the number of cancellations, rescheduling, and missed appointments.

While there may be valid reasons for cancelling or rescheduling appointments, it is difficult to fill a 50-minute psychology appointment on short notice. If several clients cancel, reschedule, or miss appointments in one day, the Psychologist loses a significant amount of income. To put it in perspective, it would be like a salaried employee being told they would only receive half of their salary for that day. Given the overhead costs of running a private practice, it is necessary to charge a fee for late cancellations, rescheduled appointments, and missed appointments. It’s worth noting that cancellation fees are not covered by Medicare, private health insurance, or Workcover claims.

If you need to cancel or reschedule your appointment, please provide a minimum of 48 business hours’ notice either through calling, email or sending a text message. Please be aware that while we make an effort to remind you of your appointments through SMS, these reminders should not be relied on solely and it is ultimately your responsibility to remember your appointments. Cancellation fees must be paid at the time of cancellation over the phone, or invoiced and paid within 7 days. Accounts that are not paid within 7 days will be sent to debt collection and will incur an additional 18% + GST fee for debt collection.
